A guide to accounting for PTO in payroll

  • Define how employees receive PTO. There are two options:
    • Upfront Method – Employees receive a set number of PTO hours. This can be based on years of service. It resets each year.
    • Accrual Method – Employees earn PTO as they work. It resets each year.
  • The best ways to prepare for PTO without affecting your bottom line:
    • Ask or have a policy where employees notify you of requests as far in advance as possible. This helps you plan coverage.
    • Express expectations and clearly communicate during an employee’s absence and potential challenges that may arise.

    • Better scheduling – make planning easier and avoid scheduling nightmares.
    • Simple process – PTO tracking is fast and easy. Employees can see PTO used and balances on their paystubs.
    • Report – The employer gets a PTO report every payroll showing what was earned, used and balances for all employees.

New Jersey Expands Family Leave and Anti-Discrimination Notice Requirements

New Jersey now requires employers to provide annual notice to employees regarding their rights under New Jersey’s Law Against Discrimination (NJLAD) and the New Jersey Family Leave Act (NJFLA). The NJLAD applies to employers of all sizes, and the NJFLA applies to employers with 30 or more employees.

Annual Notice to Employees
Covered employers must provide a copy of the NJLAD and NJFLA posters to each employee once a year and upon an employee’s first request. These notices can be provided:

  • By email,
  • In hard copy (for example, in a paycheck insert, as part of new hire paperwork, or attached to the employee handbook), or
  • On a company website that all employees can access if the employer tells employees that the posters are there each year.

Electronic Posters
As an alternative to hanging a physical copy of the NJLAD and NJFLA posters in the workplace (which was already required), New Jersey now specifically allows covered employers to display them on a company website that all employees can access if the employer usually posts other employee notices there. If you choose to put the posters on your website to meet both the posting and annual notice requirements, you will still need to tell employees where they can find the notices each year that they’re there.

Medicare Enrollment – How and When to Enroll in Medicare

There are several options when the time comes for you to enroll in Medicare. For some people, Medicare enrollment is automatic, while for others, it may depend on when and how you become eligible.

For those eligible for Medicare because they are turning 65, the window to sign up is precisely seven months long.

  • 3 months before your birthday
  • The month of your birthday
  • 3 months after your birthday

You can enroll in Medicare Part A and/or Part B in the following ways:

  • On line at www.SocialSecurity.gov
  • By calling Social Security @ 1-800-772-1213
  • In person at your local Social Security Office

Medicare is comprised of several parts:

Part A covers inpatient hospital stays and also a limited amount of inpatient rehabilitation services at a skilled nursing facility.

Part B covers your doctor visits and outpatient care, plus ambulance, medical equipment and preventative health care aimed at keeping you from getting sick.

Part D helps cover the cost of prescription drugs.

Co pays for Medicare can be covered by a few options. A Medicare Supplement plan or a Medicare Advantage plan. Each of these options has distinct advantages and vary by area and in benefits.
