The Covid-19 pandemic was tough on organizations of all sizes. As the pandemic began, many businesses found their revenues suddenly dropping without much of an idea of how long, or how bad, the pandemic may be. Fortunately for businesses partnered with Payroll Service Solutions, they were able to have a helping hand navigate their business through this turbulent time period. One way which Payroll Service Solutions was able to assist businesses during the Covid-19 pandemic was the ERC tax credit. The ERC tax credit was created with the The Infrastructure Investment and Jobs Act, enacted on November 15, 2021. This new and sudden change Payroll Service Solutions was able to navigate with ease to ensure clients received their maximum benefit. There are a number of eligibility requirements which must be met in order to be able to take advantage of the ERC tax credit and can vary by organization type. Please note: Like other payroll companies in Philadelphia, Payroll Service Solutions is not able to determine your eligibility for ERC. The best way to determine your organization’s eligibility for the ERC is to speak with your accountant who will be able to determine if you meet the credit’s requirements. If your business is eligible for the ERC then you would be able to take advantage of a refundable tax credit against certain employment taxes equal to 50% of the qualified wages an eligible employer pays to employees after March 12, 2020, and before January 1, 2021. Additionally, The Infrastructure Investment and Jobs Act was amended to limit the credit to wages only paid through October 1, 2021 unless the employer is a recovery start up business. For each one of their employees, wages up to $10,000 can be counted to determine the amount of the 50% credit. There are a number of qualifications which a business must meet in order to be eligible for the ERC tax credit. Listed below are the two main requirements from the business’s standpoint, one of which a business must meet in order to be eligible.

Payroll is critical. Your best employees are counting on getting their checks on time. Unfortunately, as a small business owner you know that there is a lot more to it than just writing checks. The right pay rate for the right number of hours is the easy part. Then, there is calculating the proper tax withholdings from each check, which is based on each employee’s different W4 form. Tracking time off taken, time off earned, keeping track of any wage garnishments or levies, and maybe even loans made to employees to help out with their situations, all adds up to a lot of work for something that should be simple. That is where Payroll Service Solutions comes in. No matter how new, or how old your business is, we can get your payroll account up and running in no time at all. Fortunately, Payroll Service Solutions in Philadelphia offers a host of payroll services that allow you to import your payroll entries. We offer a QuickBooks upload that creates a file to directly import your data. This not only saves time but prevents typos and keying errors. In addition, you can create multiple check dates at one time. Once your information is uploaded, we’ll take care of everything, including signing and sealing paychecks every payroll period. Then, we’ll retain your payroll records as required for legal and business purposes. If you need information from our records, we can get it to you on the same day as your request, and of course, we back up everything to avoid any potential data loss. In addition, we offer anytime online access to your payroll, so you can pull reports or get forms with a few clicks. As a Philadelphia entrepreneur, you have to wear a lot of hats. Most small business owners wouldn’t have it any other way. When you have a part in every aspect of your business, it is easier to keep a handle on what is happening and how well things are going. However, as businesses get bigger, it becomes harder to be involved in every aspect of your growing enterprise. Unfortunately, some of the most critical areas of business to get right aren’t necessarily the ones where your attention provides the most value. Payroll is one of these areas. It is absolutely essential to get payroll correct. There are numerous potential issues when payroll goes wrong. Of course, your employees not getting paid the right amount is a very big issue for them. Getting paid too much is a problem for your bank account. Not getting paid at all is a problem for everyone. Even if the checks all come out right, there is still the issue of accurate record-keeping for end-of-year tax reporting, calculation, and collection of payroll taxes for each payroll period, and all internal record keeping like paid time off, loan deductions, or garnishments. Philadelphia payroll companies are changing the lives of entrepreneurs with their payroll services, by removing all of the difficulties of payroll while at the same time ensuring accurate and efficient payroll processes. With payroll companies handling all of the intricate difficulties that entrepreneurs usually have to manage, the owners can focus their attention where it should be on running and growing the business. The best part is a payroll company’s expertise and systems provide the checks and balances that entrepreneurs would have to handle themselves, so there is no need to worry about it getting done right. Even better, payroll companies can often offer extended services like direct deposit that not only keep your employees happy but lower costs as well. When it comes to Philadelphia payroll companies, Payroll Service Solutions set the bar for helping entrepreneurs. See how we can help.

Payroll taxes include federal, state, and local taxes paid by the employer and employee to fund government programs such as Social Security, Medicare, and unemployment compensation. As an employer, it is your responsibility to withhold appropriate taxes from your employees’ paychecks and make payments to the appropriate tax agency. A portion of payroll taxes is employer paid and the other portion is employee paid.
Types of Payroll Taxes
There are different types of payroll taxes some paid by the employee, some the employer and other taxes paid by both. They include:
Federal Income Tax
The federal income tax depends on the W4 completed by the employee. Federal taxes allow an individual to claim dependents each pay rather than getting the credit when personal taxes are filed. It is always good to review this with your tax preparer, so you don’t have any surprises.
The Federal Insurance Contributions Act (FICA) encompasses three different types of payroll taxes. They are:
i. Social Security Tax
The employer and employee are also required to pay the Social Security tax to the IRS. The amount comes to 6.2% of taxable wages for both the employee and employer.
ii. Medicare Tax
The Medicare tax is 2.9% of the employee wage and is split equally between your company and your employee. Thus, you will have to hold 1.45% of your employee’s paycheck and match it with another 1.45% to be paid to the IRS.
iii. Additional Medicare Tax
When an employee’s income exceeds a specific amount, they are required to pay an additional Medicare tax. This amounts to 0.9% of their income.
State and Local Payroll Taxes
Employees are required to pay State withholding taxes generally in the state that they live in. These rules can vary depending on the state. State tax rates depend on the state. Most states use a bracket, but PA uses a percent of tax 3.07%.
In PA employees pay the higher of the local tax rate based on where the live and work. Philadelphia has the highest local tax rate in PA.
Federal Unemployment Tax Act (FUTA) Taxes
Employers are required to pay 0.6% on the first $7,000 of your employee’s wage as FUTA tax. This is $42 per employee per year. This tax is employer paid only.
State Unemployment Tax Act (SUTA) Taxes
Employers are required to pay SUTA tax on behalf of their employees. In some states an employee contributes to SUTA, which can be referred to as SDI tax. This is generally a small portion as the employer pays the most.

Thinking about switching payroll providers? Now is the perfect time! A new year means a fresh start and an easy transition to a new payroll company. Before you switch, however, there are things that you can have lined up to ensure a smooth transition.
Payroll taxes are based on when your employees were paid, not when they worked. That means that if they got paid January 1 (or after) for work they did in the prior December (or before), those wages are reflected in the new year’s books for tax purposes. That being said, take a look at your last pay date of the year, and if it falls in 2021 for whatever reason, make sure that is taken care of with your new payroll company.
When making the transition to a new provider, make sure that, prior to closing the account, you extract important data, such as employee information, payroll reports, and annual tax forms, to keep for records. A lot of times, after an account is closed, it can be difficult to go back and retrieve this information.
When switching payroll companies, you will need important information to gain access to all your payroll tax accounts to ensure a smooth transition. You are going to need your EIN, state employer identification number as well as other payroll tax account numbers, legal business name, and bank account information.
All of this may seem overwhelming, but Payroll Service Solutions is here to help guarantee a smooth transition to our team of experts you can depend on throughout the longevity of your business. Call us today to get started!
If your check date falls on Friday, January 1, 2021 you must decide if you want to move the check date to either December 31, 2020 or keep the check date in January of 2021. Please be aware of the following should you change your January 1st check date to December 31st: • Paying employees on December 31, 2020 will cause an extra paycheck in tax year 2020. This check will be included on the 2020 W2. • This may affect retirement contributions (especially if the contribution is setup to meet maximums). • This may affect your budget for the year. • There could be tax consequences for both employees and employers if you add a paycheck to 2020. • We strongly recommend that you consult with your CPA or tax attorney for guidance on this. • Payroll Service Solutions will not change the check date unless you request it. • If you decide to change your check date to December 31st, please request that we hold your end of year processing. Please let us know when you call in your last scheduled payroll for 2020.
It used to be that direct deposit was a luxury, but now, as it has grown to be the norm, employees have come to expect it. Payroll Service Solutions offers direct deposit services that will keep your employees happy, while also taking a big burden off your plate when it comes to payday details. Direct deposit is loved for many reasons. For example, it eliminates multiple steps that paper checks require for the funds to be accessible within an account, such as a trip to the bank and a long waiting period. Paper checks can take up to five business days to clear an account, but with direct deposit, funds are directly deposited to the employee’s account through ACH transactions. This means that on payday, employees immediately have access to those funds, without having to wait in a long line at the bank. Another large perk to using direct deposit is the safety benefits. Generally, paper checks are much riskier because they can be lost, stolen, or fraudulently cashed. When using direct deposit, the money is directly debited from the employer’s account and deposited to the employee’s account so there is no room for theft or fraud. Switching to an electronic pay system saves everyone involved both time and money. If you’d like to set up direct deposit or talk to us about how we can better your current systems, call Payroll Service Solutions today! We are proud to serve small businesses in the Philadelphia area as well as the entire U.S. with full-service payroll solutions.

On August 8, 2020, President Trump signed a memorandum allowing employees making up to $4,000.00 pretax biweekly to defer paying their portion of Social Security taxes. The tax deferral went into effect on September 1, 2020, and will end on December 31, 2020. At this point and time, the monies deferred will have to be paid back in full. Guidance put out by the IRS on August 28, 2020, suggests that it will have to be paid back in full by April 30, 2021. It will be an additional deduction from the employee’s check. The guidance also suggests that ultimately the employer is responsible for the repayment of these taxes. Payroll Service Solutions is not automatically deferring this tax. If you have an employee who would like to his or her their Social Security tax, contact our office to obtain the necessary paperwork.

Also known as the Paycheck Protection Program, it provides 100% federally guaranteed loans to small businesses. Up to 100 % of the loan is forgivable. https://www.sba.gov/funding-programs/loans/paycheck-protection-program#section-header-2 SBA guidelines have not yet been issued on these loans. We strongly advise that you read through the entire document prior to Wednesday, April 1st so you have an understanding of how the leaves work. You can find the link below. The following are some highlights from the updated guidance.
On Friday, March 27th the President signed the CARES Act. The new law is a $2 trillion economic stimulus package designed to repair the economic damage caused by COVID-19 and provide additional protection to individuals and businesses who may lose income due to the pandemic. While most of the act pertains to direct payments and loans, there are some sections that affect employers. Providing Alternatives to Closure and Layoffs The CARES Act gives employers the following options and benefits, which may allow them to stay open and keep more people employed:
